How Hotels Can Get More Direct Bookings From Their Website

Hotel website direct bookings grow when booking on your own site is quicker, clearer and slightly more rewarding than booking through an agency. That means a booking engine that works on a phone, honest room pages, deposits by M-Pesa and card, a strong presence on Google for your own name, and a habit of turning every agency guest into a direct guest next time.

This guide is for owners and managers of Kenyan hotels, safari lodges, beach cottages and guesthouses who already sell through the online travel agencies (OTAs) and want a bigger share of bookings to come straight to them.

Why direct bookings matter

The OTAs are good at one thing: putting your property in front of people who have never heard of you. You pay for that with commission on every stay they send. The exact rate depends on your contract and the programmes you join, so check your own statements rather than relying on industry averages.

Commission is only part of the cost. When a guest books through an agency:

  • The agency usually controls the guest's contact details and the messages they receive before arrival.
  • You have less room to upsell transfers, game drives, spa treatments or a conference package.
  • Cancellation and payment terms are partly set by the agency's policies, not yours.
  • Next year, that same guest is likely to return to the agency app to rebook, and you pay again.

The aim is not to drop the OTAs. For most Kenyan properties they remain the best source of new international guests. The aim is to make sure guests who already know your name, returning guests, corporate clients and local travellers book with you.

Audit your current booking path first

Before spending on anything new, test what you have. Take a phone, switch to mobile data and try to book a room on your own site as a guest would. Time yourself. Then score each item below.

Booking engine essentials

A booking engine is the software that shows availability, takes the booking and records it. Many Kenyan properties already have one inside their property management system or channel manager, but link to it only from a small "Book now" button that opens a clumsy page.

Whatever engine you use, it should:

  1. Share availability with your channel manager, so a room sold on an OTA disappears from your site and you never double-book.
  2. Work properly on a phone, with a date picker that is easy to tap and no tiny text.
  3. Look like part of your website, with your logo and colours, so guests do not feel they have been sent somewhere else.
  4. Show the full price before payment, including any levies and what the deposit covers.
  5. Send confirmations automatically, by email at minimum, and ideally by SMS or WhatsApp too.

If you have no engine at all, you have two choices: subscribe to a hotel booking system and embed it, or have one built around how you run the property. A custom build makes sense when your products are unusual, such as safari packages that combine rooms, park fees and transfers, or a conference venue that sells rooms and halls together. Photos, rooms and rates pages

Guests book a specific room, not a property. Every room type deserves its own page, and that page has a few jobs to do.

Photographs that match reality

Hire a photographer for a day, in good light, after the rooms have been made up properly. Photograph the bathroom, the view from the window, the bed and the desk. Guests notice when the photos are years old or taken in another room. Compress the images so they load on a 3G connection in Nanyuki as well as on fibre in Westlands.

Rates people can understand

Many Kenyan properties sell at resident and non-resident rates, by season, on bed and breakfast, half board or full board. That is a lot of variables. Put them in a table with season dates as rows and meal plans as columns, and say in one sentence what each price includes. If children stay at a reduced rate, give the age bands.

The direct-booking reason

Next to the price, state why booking direct is better. It does not have to be a discount. Common options that work in Kenya:

  • Free airport or bus-stage transfer for direct guests.
  • Breakfast included on a room-only rate.
  • Free cancellation up to a set number of days before arrival.
  • Early check-in or late checkout when available.
  • A complimentary sundowner, nature walk or spa voucher.

Some OTA contracts restrict how you advertise a lower public rate, so check yours before cutting prices. Added value is usually the safer lever.

M-Pesa deposits and card payments

A booking without a deposit is a hope. A deposit turns it into a commitment, and the right payment options make paying it easy.

  • Local guests mostly want M-Pesa. An STK push, where the payment prompt appears on the guest's phone and the booking confirms itself, removes the need for staff to check messages and match codes.
  • International guests and corporate travel bookers usually want to pay by card, often in US dollars.
  • Diaspora Kenyans booking for parents may want either, depending on where they are.

Hotel SEO and Google

Your biggest search opportunity is your own name. Guests who see you on an OTA often search your property name next, to look at more photos and check whether booking direct is better. If your website is slow, out of date or hard to find in those results, they go back to the agency.

Work through these in order:

  1. Google Business Profile. Claim it, add proper photos, set the right category and keep the phone number and website link correct. Reply to reviews, good and bad.
  2. Brand search. Make sure your website appears for your property name and that its title and description make the direct-booking offer clear.
  3. Location and experience pages. Write pages about what guests do near you: the beach, the park gate, the conference facilities, the drive time from Nairobi. These catch people who have not yet chosen a property.
  4. Speed and mobile. Heavy galleries hurt both rankings and patience. Size your images properly.

Turning OTA guests into direct guests

This is where the money is. Every guest who arrives via an agency is a chance to make their next booking a direct one, within the limits of your OTA agreements.

  • At check-in and checkout, mention your website and the direct-booking benefit. A small card in the room with a QR code to your booking page works well.
  • Collect contact details properly during the stay, with consent, so you can invite guests back. The Data Protection Act, 2019 applies to guest data, so say what you will use it for and give an easy way to opt out.
  • Send one well-timed message before the next holiday season, not a weekly newsletter. For example: "Thank you for staying with us in April. If you are planning a December break, booking on our website includes free airport transfers. Reply to this message for dates."
  • Look after corporates directly. Companies that send staff to workshops want a named contact, a corporate rate sheet and invoices. Give them a page and an email address of their own.

Over a season or two, this shifts the mix towards direct bookings without you giving up the reach the agencies provide.

Putting it together

If you only do three things this quarter, make them these: give every room type its own page with real photos and a clear rate table, put a working booking engine with M-Pesa and card deposits on those pages, and claim and tidy your Google Business Profile. That depends on your contract. Some online travel agency agreements include rate parity terms that limit how you advertise lower prices publicly. Read your agreement, and if in doubt, add value instead of cutting the price: breakfast, a late checkout, an airport transfer or free cancellation for direct guests.

A lodge with a handful of rooms can start with a request form and confirm by phone, as long as someone replies within an hour or two. Once you are juggling several channels or losing bookings to slow replies, a booking engine with live availability saves double bookings and staff time.

Show both where you serve both markets. Residents expect shillings, many overseas guests expect US dollars. Keep resident and non-resident rates in separate, clearly labelled tables, and say which taxes, levies and meals each price includes so nobody is surprised at checkout.

Guests who already know your name can book from day one, so repeat guests and referrals show up first. Searches for your location and the experiences nearby take longer, often several months of steady work on content, photographs and reviews. Nobody can promise a date for Google rankings.
