Google Analytics 4 for small business use comes down to three jobs: install it once, correctly; mark the handful of actions that mean a real enquiry or sale (WhatsApp clicks, calls, form submissions, payments) as key events; and look at one simple report each month. Everything else in GA4 is optional. This guide sets up only what an SME needs, in about an hour.

What GA4 can tell you (and what it can't)

GA4 is Google's free website analytics tool. Set up properly, it answers the questions that actually affect your decisions:

  • How many people visit, and is that going up or down?
  • Where do they come from: Google search, Google Maps, Facebook, Instagram, WhatsApp shares, ads?
  • Which pages do they look at, and which ones lead to enquiries?
  • How many tapped WhatsApp, called or filled a form, and from which source?

It will not tell you who a visitor is, whether a WhatsApp chat became a sale, or what someone searched for on Google in detail. For search queries, use Google Search Console alongside GA4; our Search Console setup guide covers it. To know which enquiries turned into money, you still need to record that in your own system.

Installing GA4

1. Create the account and property

  1. Go to Google Analytics with a Google account the business owns, not a staff member's personal Gmail.
  2. Create an account in your business name and a property for your website.
  3. Set the reporting time zone to Kenya (East Africa Time) and the currency to Kenyan shillings, so daily figures and revenue line up with your books.
  4. Add a Web data stream with your website address. GA4 gives you a measurement ID that starts with G-.

2. Add the tag to your site

Use one method only. Installing the tag twice is a common mistake that doubles every number.

Your siteSimplest method
WordPressGoogle's Site Kit plugin, or the GA4 field in your SEO or theme settings
Shopify, Wix or similarThe platform's built-in Google integration
Custom-built siteAsk your developer to add the Google tag or Google Tag Manager to every page
You want flexible click trackingGoogle Tag Manager, which makes call and WhatsApp tracking easier

3. Three settings to change straight away

  • Data retention: under Admin, Data collection and modification, Data retention, change the event data retention period from the default to the longest available option for the free version. Otherwise detailed reports on older data become limited.
  • Internal traffic: define your office IP address as internal traffic and filter it out, so staff browsing the site all day do not inflate the numbers. This only works with a fixed IP, which many Kenyan office connections do not have, so do not worry if you cannot.
  • Link Search Console: connect your Search Console property so search data appears inside GA4.

Check it works: open the Realtime report, then visit your site on your phone. You should appear within a minute.

Key events: WhatsApp, calls, forms, payments

This is the step most small business setups skip, and it is the one that makes GA4 useful. Out of the box, GA4 counts visits. You need it to count enquiries.

ActionHow to track itSuggested event name
WhatsApp clickClick on any link containing wa.me or api.whatsapp.com, via Tag Manager or the outbound click eventwhatsapp_click
Phone call clickClick on any link starting tel:, via Tag Managercall_click
Form submissionA page view of your thank-you page, or the form plugin's success eventgenerate_lead
Online payment or orderThe purchase event from your e-commerce platform, firing only after payment is confirmedpurchase
BookingThe booking confirmation page or eventbooking_complete

Then, in GA4 Admin, go to Events, find each one once it has fired at least once, and mark it as a key event.

Two Kenyan gotchas

  • M-Pesa payments. If your purchase event fires when the customer clicks "Pay", you will count STK push requests that were cancelled or failed. Make sure it fires on the order confirmation that follows a successful M-Pesa callback. Your developer will know where that is.
  • Thank-you pages. Many Kenyan sites show a small "message sent" note on the same page instead of a separate thank-you page. That is harder to track. A dedicated thank-you page is easier to measure and gives you space to offer WhatsApp for urgent questions.

Test every key event yourself: tap the WhatsApp button, tap the phone number, submit the form, and check the Realtime report. Then wait a day and confirm they show in standard reports.

Traffic sources that matter

Go to Reports, Acquisition, Traffic acquisition. Change the table to show "Session source / medium" and add your key events as a column. The rows that matter for most SMEs:

  • google / organic: people who found you through Google search. If this is small, SEO is your opportunity.
  • (direct) / (none): people who typed your address, used a bookmark, or came from apps that strip referral information. WhatsApp shares often land here.
  • facebook / referral, instagram / referral, or m.facebook.com: social visits, unpaid.
  • Paid sources: visits from ads, if you tag your ad links properly.
  • Google Business Profile: visits from your Maps listing. Add UTM tags to the website link in your profile so these are labelled clearly instead of mixing with organic search.

Look at key events per source, not just visits. A source that sends few visitors but many WhatsApp clicks deserves more attention than one that sends lots of visitors who leave.

A one-page monthly report

Most owners open GA4 once, get lost and never return. Avoid that by deciding in advance which handful of numbers you will look at. Build this once in GA4's Explore section or in Looker Studio (free), then check it on the first working day of each month.

NumberThis monthLast monthNote
UsersTrend only

Call clicks

Orders or bookingsCompare with your records
Top 3 sources by key events
Top 3 pages by key events

Add one line at the bottom: "What we will change this month." That turns the report from a ritual into a decision. If you want ideas for what to change, our guide on getting more leads from your business website works through the usual fixes.

Compare the form and order numbers with what actually arrived in your inbox and your M-Pesa statement now and then. If they disagree badly, something in the tracking has broken, usually after a site update.

Setup mistakes we see most often

  • The account belongs to the web designer. When the relationship ends, so does your access to years of data. Make sure the business account is the owner and the designer is only a user.
  • An old Universal Analytics code still sits on the site. It no longer collects anything useful and just adds weight to the page. Remove it.
  • Every button click is a key event. If "viewed gallery" and "scrolled 90%" are marked as key events, the real enquiries get buried. Keep the list short.
  • Ad links are not tagged. Without UTM parameters, visits from your Facebook or Instagram ads look like ordinary social traffic and you cannot work out what each lead cost.
  • Nobody looks at it. A perfect setup with no monthly review is worth nothing. Put the report date in someone's calendar.

GA4 sets cookies and collects identifiers such as IP-derived location, so it falls within your data protection duties under Kenya's Data Protection Act.

  • Mention Google Analytics by name in your privacy policy, and say what it is used for.
  • Consider a cookie banner that lets visitors refuse analytics. Google's consent mode can adjust how GA4 behaves based on that choice.
  • Do not send personal data such as names, phone numbers or emails into GA4, for example in page URLs or event parameters. Google's terms prohibit it.
  • Leave advertising features off unless you actually run Google Ads and have disclosed it.

Our article on Data Protection Act compliance for websites covers the wider picture; check odpc.go.ke for current guidance on cookies and consent.

Get it set up properly

If your GA4 is installed but nobody trusts the numbers, or it is not tracking WhatsApp and calls, our support team can audit and fix the setup and build your monthly report. If you want someone to also act on what the numbers show, that is part of our SEO service.

FAQ

Questions about this topic

Yes, the standard version of Google Analytics 4 is free and is more than enough for a small business website. There is a paid enterprise version aimed at very large organisations with huge traffic and advanced needs, but an SME will not come close to needing it. The cost is mainly the time to set it up properly.

Hosting statistics count every request to the server, including search engine bots, spam crawlers and monitoring tools. GA4 only counts visitors whose browsers run its tracking code, and some people block it or decline cookies. The two will never match. Use GA4 for trends and behaviour, not as an exact head count.

An event is anything GA4 records, such as a page view, a scroll or a click. A key event is an event you have marked as important to your business, such as a form submission or WhatsApp click. Google previously called these conversions. Marking an event as key makes it show up prominently in reports and lets you compare traffic sources by results.
